Who this covers
This policy covers getreferralloop.com, the Referral Loop app, our phone apps and our emails. Referral Loop is a business tool for real estate professionals in the United States. It isn't meant for anyone under 18, and we don't knowingly collect information about children.
What we collect
Your account details (name, email), and what you enter to run your referral business: your clients, the agents and brokerages you work with, referral and commission details, the agreements you create, the files you upload, and who each agreement was sent to and whether they've signed. If you turn on notifications or texts, we also keep what's needed to reach you: your device's notification address, or your mobile number.
Your clients' information
When you enter information about your clients and other people, you decide what's entered and how it's used. We store and handle it on your behalf, following your instructions, and only to run Referral Loop for you. If one of your clients asks us about their information, we'll point them to you, and we'll help you answer their request.
Our website and its forms
When you join the waitlist or send us a message on getreferralloop.com, we collect what you type in: your name, email and anything else you choose to tell us, such as where you sell, the state you're licensed in, or your company. We use it only to answer you and to tell you about Referral Loop.
Your form goes to our inbox and to Attio, the system we use to keep track of the people we talk to. We don't sell it or share it with anyone else.
We count visits to getreferralloop.com with Vercel Web Analytics, which uses no cookies and doesn't identify you, and our forms use Cloudflare Turnstile to block spam. The website's fonts load from Google Fonts, which sees your device's internet address when a page loads.
Every email we send about Referral Loop has an unsubscribe link. To have your information removed completely, email support@referralloop.us.
Cookies and similar storage
getreferralloop.com doesn't use advertising or tracking cookies, and its visit counts use no cookies at all. The Referral Loop app stores only what it needs to work: keeping you signed in, keeping a signing session open while someone signs, and remembering a few choices on your device, like your view and recent searches. When you pay, Stripe sets its own cookies to help prevent fraud. We don't use advertising or tracking cookies.
Your documents, and who can read them
Real estate professionals care about privacy, so we'd rather be plain about this than let you assume something better.
Everything in Referral Loop, including your documents and any brokerage forms you upload, is stored on Referral Loop's own systems, and Referral Loop's developer has technical access to it.
Signing happens inside Referral Loop. Your documents aren't sent to an outside e-signature company, and no one else keeps a copy. The people you send a document to can read it, because that's what sending it for signature means.
We will never look at or use the content of your documents except to run the product (creating a document you asked for, delivering it to the people signing, or showing it back to you), or when you ask us to during a support request. We don't read documents as a matter of routine.
Things Referral Loop reads for you
When you import a spreadsheet, upload a sales production sheet, or set up a blank brokerage form, Referral Loop sends just what's needed to Anthropic so it can read it for you. You check what it found before anything is saved. Anthropic doesn't use what we send to train its systems.
AI assistants you connect
If you connect an AI assistant, such as Claude, ChatGPT, Gemini or Copilot, to your account, it can see and change whatever you allow it to. What it receives is then also covered by that assistant's own privacy policy. You can disconnect it at any time in Settings.
Text messages
When Referral Loop adds text messages, we'll only text you if you turn texts on. We use your mobile number only to send the texts you asked for. We never sell or share your mobile number or your permission to receive texts with anyone for their own marketing. Reply STOP to stop texts at any time.
Who we share data with
We don't sell your data to anyone. We may combine information across all accounts into anonymous statistics, such as the average referral fee, which never identify you, your clients or any referral. We use a few services to run Referral Loop, and share only what each needs to do its job. Each handles information in the United States unless noted:

Keeping and deleting your data
Your data stays available for as long as your account is open. If your paid plan ends, your account moves to the Free plan and your referrals, clients, documents and tasks stay visible and editable. Nothing is deleted. If you delete something in the app, we remove it right away. Signed agreements are the exception: they can't be deleted, only archived, because the other people who signed rely on them. You can download your information, including spreadsheets of your records and your documents, from Settings at any time; download it before closing your account. To have your whole account and its other data deleted, email support@referralloop.us.
Security
Your data is encrypted while it's sent and while it's stored. Each account only ever sees its own data, plus any referral another agent sends you. Questions about security are welcome.
Changes to this policy
When we change this policy, we'll update the date at the top. For important changes, we'll tell you by email or in the app at least 30 days before they take effect.
