Terms of Use
Last updated October 2026 · Referral Loop, LLC
These terms are an agreement between you and Referral Loop, LLC ("Referral Loop", "we", "us"). They cover the website at getreferralloop.com, the Referral Loop app, our phone apps and our emails (together, "the service"). By creating an account or using the service, you agree to them. If you use Referral Loop for a business or brokerage, "you" includes that business. Referral Loop is for real estate professionals and the people who work with them, in the United States. You must be at least 18.
1. Referral Loop is in beta
Referral Loop is new and still changing. Features may be added, changed or removed, and you may run into bugs. Please tell us when something doesn't work.
2. What Referral Loop is, and isn't
Referral Loop is software for real estate agents and brokers to keep track of the agents they work with, the referrals they send and receive, and the agreements and files that go with them.
- We're not a real estate brokerage, and we don't represent you, your clients or anyone else in a transaction.
- We're not a party to your referral agreements. They're between you, the other agent and your brokerages.
- We don't collect, hold or pay referral fees. Referral fees are paid between you and the other side, outside Referral Loop. We're not responsible for a fee that goes unpaid.
- We don't give legal, tax or financial advice. Referral Loop's agreement is a general starting point. It hasn't been reviewed for your state. Check with your managing broker, your local REALTOR® association's forms or an attorney before relying on it.
- Checklists help you keep track; they don't make you compliant. The compliance checklist, reminders and records in Referral Loop help you see what's done and what's missing. Whether a referral meets the rules is still up to you and your brokerage.
- You're responsible for following the rules that apply to you, including real estate licensing laws, the Real Estate Settlement Procedures Act (RESPA), fair housing and anti-discrimination laws, your brokerage's policies, and the rule that referral fees may only be paid to and from people allowed to receive them.
3. Your account
- Give us accurate information and keep it up to date.
- Each login is for one person. Don't share it.
- Keep your login secure. You're responsible for what happens under your account.
- If you think someone else has used your account, email support@referralloop.us right away.
4. Plans, trials and billing
- Free trial. New accounts get 14 days of Refer free, with no card. Each person gets one free trial. We may end extra trials opened with new email addresses.
- Paid plans renew automatically. When you add a card, your plan renews monthly or annually, whichever you chose, until you cancel. Charges are processed by Stripe. Prices don't include taxes, which are added where required.
- Cancelling. You can cancel any time in Settings. When you cancel, you keep your plan until the end of the period you've paid for.
- Refunds. If requested within 24 hours of payment, we'll refund in full. If you paid for an annual subscription, you can cancel within 30 days of that payment and we'll issue a prorated refund for the months you haven't started. Otherwise, payments aren't refunded, except where the law requires it or as described in section 21. Refunds go back to the card you paid with. Email support@referralloop.us to request a refund.
- When a paid plan or trial ends, including for an unpaid charge, your account moves to the Free plan the same day. Everything you made stays visible and editable. Sending a new referral or agreement is what Refer adds. Nothing is deleted.
- Price changes. We'll email you at least 30 days before a price change affects you. It applies from your next renewal after that notice.
- Plans are bought on the website. Subscriptions are bought and managed on Referral Loop's website, not through the App Store or Google Play.
5. The Free plan
The Free plan is free for as long as you use it, and we won't close a Free account just because it hasn't been used in a while. We may change what's included in Free. If a change removes something you use, we'll tell you first.
6. Your information
- It's yours. You own what you put into Referral Loop: your agents, clients, referrals, files and notes.
- What you allow us to do with it. You give us permission to store, process, display and send it only as needed to run the service for you, for example emailing an agreement to the people you choose.
- Your clients' information is yours to manage. You decide what you enter about your clients and other people, and we handle it on your behalf, following your instructions. If one of your clients asks us about their information, we'll point them to you.
- Anonymous statistics. We may combine information across all accounts into anonymous statistics, such as the average referral fee. These never identify you, your clients, or any referral or person.
- You have the right to share it. You're responsible for having the right to enter your clients' and other agents' information, and for any consent the law requires from them.
- Take it with you any time. You can download your information, including spreadsheets of your records and your documents, from Settings whenever you like. Download it before you close your account.
- How we handle your information is explained in our Privacy Policy.
7. Things Referral Loop reads for you
Some features read a file for you so you don't have to type it in: a spreadsheet you import, a sales production sheet you upload, or a blank brokerage form you set up. This reading is done automatically, with help from an outside service, and it can get things wrong. You'll always see what it found before anything is saved; check it. The outside service doesn't use your information to train its systems.
8. Electronic signatures
- Documents signed in Referral Loop are signed electronically, which U.S. law (the federal ESIGN Act and the Uniform Electronic Transactions Act (UETA) as adopted by the states) generally treats the same as signing on paper. Before signing, each person sees and agrees to an electronic signature disclosure. How Referral Loop meets these laws is explained on our Security page.
- Everyone signs for themselves. Never sign as someone else.
- Signing links are private. Each signing link opens that document for whoever has it, without a password. Don't forward yours. If you think a link reached the wrong person, tell the sender or email support@referralloop.us.
- Each signed agreement gets a certificate recording who signed and when.
- Signed agreements can't be deleted or changed, only archived, because the other people who signed rely on them.
- Some documents can't legally be signed electronically in some places. You're responsible for using e-signature only where it's allowed.
9. People you send things to
When you send a referral or an agreement, Referral Loop emails the people you choose on your behalf. A referral you send gives the receiving agent a free account. Only send to people you have a real business reason to contact.
10. Text messages
When Referral Loop adds text messages, these rules apply:
- Texts to you. We'll only text you if you turn texts on and give us your mobile number. You can choose which texts you get, and how often depends on your activity. Message and data rates may apply. Reply STOP to stop, or HELP for help. Turning texts on is never required to use or buy Referral Loop.
- Texts you send to others. If you use Referral Loop to text another person, you're responsible for having their permission where the law requires it, including under the Telephone Consumer Protection Act (TCPA) and state laws, and for honoring anyone who asks you to stop. We may block texts that look like spam or that break these terms.
11. Things you can't do
- Break the law, or use Referral Loop to mislead or defraud anyone.
- Send spam or unwanted messages through Referral Loop.
- Sign, or pretend to sign, for another person.
- Upload anything harmful, like viruses, or anything you don't have the right to share.
- Try to get into accounts or information that aren't yours.
- Copy, scrape, resell or reverse-engineer Referral Loop, or overload it on purpose.
- Use Referral Loop to discriminate against anyone in a way fair housing or other laws forbid.
12. Outside services and AI assistants
- Outside services. Referral Loop runs on a few outside services, such as Supabase to store information, Stripe for payments and Resend to send email. The full list, and what each one receives, is in our Privacy Policy. We aren't responsible for services we don't run.
- AI assistants you connect. If you connect an AI assistant, such as Claude, ChatGPT, Gemini or Copilot, to your Referral Loop account, it acts for you: it can see and change whatever you allow it to, and you're responsible for what it does with that access. The assistant's own terms and privacy policy cover what it receives. You can disconnect it at any time in Settings.
13. Phone apps
If you get Referral Loop's phone app from Apple's App Store or Google Play:
- These terms are between you and Referral Loop, not Apple or Google. We, not they, are responsible for the app and its content.
- We give you a personal right to use the app on devices you own or control, as these terms and the store's rules allow.
- Apple and Google don't owe you any maintenance or support for the app. If the app doesn't do what we promise, you can tell Apple, and Apple may refund any price you paid for it. Apple has no other warranty duty for the app.
- Apple and Google aren't responsible for claims about the app, such as product liability, legal or consumer-protection claims, or claims that the app infringes someone's rights. We handle those as these terms describe.
- You confirm you're not in a country under a U.S. government embargo and aren't on a U.S. government list of restricted people.
- Apple and its subsidiaries can enforce these terms against you as they relate to the app.
14. Your ideas
If you send us suggestions, we may use them to improve Referral Loop without owing you anything.
15. Suspending or closing accounts
- We may suspend or close an account that breaks these terms, or when a court order or the law requires it. When we reasonably can, we'll tell you first and give you a chance to fix the problem.
- Unpaid charges don't close your account. It moves to the Free plan, as described in section 4.
- You can close your account any time by emailing support@referralloop.us. Signed agreements are kept as records, as described in section 8. Download your information first, as described in section 6.
16. Availability
We work to keep Referral Loop running and reliable, but we can't promise it will never be interrupted. We'll give notice before planned maintenance that could affect you.
17. No warranties
Referral Loop is provided "as is" and "as available". To the extent the law allows, we make no promises beyond those written in these terms, including any promise that the service will be error-free, will meet your needs, or will produce any particular result, such as a referral fee being paid, or that anything Referral Loop reads for you will be accurate.
18. Limit on our liability
To the extent the law allows:
- We aren't liable for indirect losses, such as lost profits, lost referral fees or lost data.
- Our total liability for any claim is limited to what you paid us in the 12 months before the claim, or $100 if you paid nothing.
19. Your responsibility to us
If someone makes a claim against Referral Loop because of how you used the service, what you uploaded, texts you sent, what an AI assistant you connected did, or a referral agreement or fee between you and someone else, you'll cover our reasonable costs of dealing with it.
20. Disputes: talk first, then individual arbitration
Please read this section carefully. It means most disputes are decided by an arbitrator, not a judge or jury, and that you can't bring or join a class action against us.
- Missouri law governs these terms. The Federal Arbitration Act governs this section.
- Talk to us first. Before starting any claim, send a written description of it to support@referralloop.us. We'll do the same for you. Either of us may start arbitration only if it isn't resolved within 45 days.
- Arbitration. Any dispute about Referral Loop or these terms is decided by binding arbitration with the American Arbitration Association (AAA), under its rules, by one arbitrator, on an individual basis. Hearings can be held by video, or in Cass County, Missouri. Filing and arbitrator fees are split as the AAA's rules provide.
- No class actions. You and we may each bring claims only individually, not as a plaintiff or class member in any class, group or representative action. You and we both give up the right to a jury trial.
- Exceptions. Either of us may bring a qualifying claim in small claims court, or go to court to stop someone from misusing our intellectual property or breaking into accounts.
- You can opt out. You can opt out of arbitration and the class action waiver by emailing support@referralloop.us within 30 days of first accepting these terms, with your name, your account email and a sentence saying you're opting out. Opting out doesn't affect anything else in these terms.
- If this section can't be enforced, or for any claim that isn't arbitrated, disputes are handled in the state or federal courts for Cass County, Missouri.
21. Changes to these terms
We may update these terms as Referral Loop changes. For important changes, we'll tell you by email or in the app at least 30 days before they take effect. If you don't agree, you can cancel before then, and we'll refund the unused part of what you've already paid. If you keep using Referral Loop after that, you accept the new terms.
22. Notices
We may send notices about your account and these terms by email, to the address you sign in with, or in the app. These count as written notice. Your agreement to these terms online counts the same as a signature.
23. The rest
- These terms and the Privacy Policy are the whole agreement between us about the service.
- If part of these terms can't be enforced, the rest still applies.
- If we don't enforce something right away, we haven't given up the right to.
- You can't transfer these terms to someone else without our written OK. We may transfer them if Referral Loop is sold or reorganized.
